Your Wave switching checklist

  1. Step 1

    Prepare your CSV

    In Wave Business settings, open Data Export. The Accounting download includes a customers file in CSV or XLS format. Use that customers file; if it is XLS, save it as CSV first. Wave says Viewer and Editor roles cannot export data.

  2. Step 2

    Map and check your billing details

    Map customer names and email addresses, then add the upcoming work and agreed amount. Select the invoice currency explicitly; a customer export does not establish what currency or amount you should charge.

  3. Step 3

    Review one invoice and choose delivery

    Open a billing draft in the invoice editor. Complete sender and client addresses, check the PDF, and test the email. Stop any matching send in your old tool before scheduling here. Enable recurring sends or reminders only when you are ready.

What stays in Wave

Keep Wave records and any existing payment disputes in Wave. This import does not release held funds, move payroll or accounting, or transfer old payment transactions. Stop matching recurring sends in Wave before scheduling new ones here.

Will uploading a CSV send invoices to clients?

No. The CSV is read in your browser and becomes a preview, not saved invoices. Open one billing draft in the editor, complete missing details, preview the PDF, and choose a send time. Saving an invoice to the schedule enables automatic delivery. Recurrence and reminders begin disabled for imported drafts.

Can I import all my old invoices and payment history?

This workflow prepares future invoices from client records or upcoming billing rows. It does not migrate accounting history or historical balances. When a status column is mapped, only draft, pending, and unsent rows are included. Paid and previously sent rows are skipped. Original invoice references group line items; new invoices use InvoiceAgent numbering.

Which CSV fields are supported?

Map client name and email, company, billing address, billing reference, line item description and amount, currency, tax percentage, hosted payment link, notes, and existing status. Amounts are line totals before tax, not rates or historical customer balances. Complete missing details in the editor. Import up to 500 rows and 1 MB at a time.

Does InvoiceAgent collect or hold client payments?

InvoiceAgent does not process client payments. Add bank instructions or a hosted payment link from your chosen provider. That provider still controls processing fees and settlement. Payment links alone do not reconcile payments; record confirmed payments yourself, or use separately configured Wise reconciliation.

Can I export my data after the trial or subscription ends?

Yes. While signed in, download your invoice records as CSV or JSON from the dashboard even after automation access ends. JSON includes line items, payment history, and reminder records. Exports do not include account credentials and cannot be restored automatically as a full accounting backup.

Is there a client limit on Pro?

Pro has no client-count tiers and includes unlimited invoice scheduling. Solo is a different offer: a one-time purchase for one non-recurring invoice. Check current pricing, promotional duration, and renewal terms before buying.
