Google Drive Invoice Sync: Permissions and Access Checks
Review the account authorization and destination folder's access before archiving client invoices. Connecting Drive, sharing a PDF, and removing old records are separate decisions. InvoiceAgent's sync controls do not replace those choices in Google Drive.

Using InvoiceAgent
Review the intended account and archive folder's access, then connect Drive and check one eligible invoice PDF.
Illustrative example
Example: review a folder before a bookkeeper handoff
- Account owner
- The billing owner connects the intended business Google account and confirms the displayed destination.
- Destination review
- Finance / Client invoices is inside a parent folder used by several collaborators. Inspect who can access the destination and an actual PDF.
- Needed access
- Record the people who need invoice records, including the appointed bookkeeper; resolve unexpected access in Google Drive.
- Upload check
- Open invoice 1062 in the approved destination, verify its details, and check the file's sharing before handing over its link.
- Connection retirement
- Disconnect in InvoiceAgent, review app authorization in the Google account, and manage retained PDFs separately.
Illustrative review scenario. Required people, retention choices, and suitable account arrangements depend on your organization; no security test or legal conclusion is implied.
See the recorded product workflowSeparate connection permission from access to records
The current connection requests drive.file and drive.metadata.readonly. The first supports app-related file operations; the second permits reading Drive metadata and is used for folder discovery. Metadata access is broader than the selected invoice folder, so do not describe this connection as access only to one folder. Review the actual consent screen with the Google account you intend to use.
OAuth permission for InvoiceAgent and sharing permission for people are different controls. In Google Drive, inspect the destination folder, its parent context, and a representative PDF for direct or inherited access. A dedicated invoice folder still needs an access review if it sits inside a broadly shared location. The current sync implementation does not create a public sharing permission, but it also does not audit or repair your folder's existing access choices.
Assign a records owner who can check the destination after account, staff, or bookkeeping changes. Keep invoices accessible to the people responsible for billing while following your own recordkeeping policy. This integration is not an access-review service, a retention policy, or a compliance certification. Decide when old files should be retained or removed using your business requirements rather than treating disconnect as deletion.

Review authorization, people, and offboarding
1. Choose the account deliberately
Identify the billing records owner and the Google account intended to hold the files. Read the authorization request before approving. After returning to InvoiceAgent, open the selected folder link and confirm the account and folder. If the destination is wrong, correct it before syncing existing invoices.
2. Inspect the folder and a real PDF
Review people, groups, and link-sharing settings in Google Drive. Check a representative invoice's actual access rather than relying on its filename or a local sync count. Resolve unexpected access using Drive controls and your organization's process. When sharing with a bookkeeper, send only the intended records through your approved handoff workflow.
3. Record how to retire the connection
Disconnecting clears stored Drive connection details and local invoice file links in InvoiceAgent. The implementation does not issue a Google token-revocation request or delete remote PDFs. If retiring access, review the app's authorization in your Google account separately; keep or remove archived documents according to your records policy. Check for existing copies before a later reconnection.

Avoid this
A sync control is not a sharing control
Sent-only versus sent-and-paid timing determines eligible archive work. It does not decide who can read the uploaded documents. Review sharing in Drive when collaborators change and after moving records to another location.
Avoid this
A new destination does not secure old copies
Changing the selected folder affects future uploads while previously linked invoices are skipped. Earlier PDFs remain in their existing locations. Include those records in an access review instead of assuming the new setting applied retroactively.
Avoid this
Disconnect and revocation are separate
Removing the local connection stops InvoiceAgent using those stored connection details. It does not establish that Google's authorization was revoked or old files were removed. Complete the corresponding Google account and Drive actions when those are part of your intended offboarding.
Move from reading about the workflow to running it.
InvoiceAgent is designed for the last mile of getting paid: scheduled invoice delivery, reminder timing, professional PDFs, and send-time FX conversion when global billing is involved.

Questions people usually have before changing the workflow.
Does InvoiceAgent request access only to my invoice folder?
No. The current connection requests drive.file plus drive.metadata.readonly. Read the consent screen and consider the metadata permission separately from your chosen upload destination.
Does sync make invoice PDFs public?
The current upload code does not create a public-sharing permission. Check the destination and PDF in Google Drive because existing access settings still need review.
Does disconnecting delete my invoice PDFs?
No. Existing Drive PDFs remain. Disconnect clears InvoiceAgent's stored connection and local file links; manage retained or unwanted copies in Google Drive separately.
Does disconnecting revoke the Google authorization?
The current disconnect implementation does not call Google's token-revocation endpoint. Review app authorization in your Google account separately if you want that access removed.
