Use statement, certificate or other for a document that should be filed without financial recording.
02
Turn amount recording off
Configure a match, category, date basis and destination template for the archive-only rule.
03
Check the filing preview
Confirm the folder and verify that the proposal does not include a financial write.
In practice
Know what happens to your files.
Separate evidence from individual transactions.
A statement may summarize purchases already represented by invoices and receipts. Recording its balance again could create a misleading extra amount. A certificate may be useful supporting evidence without representing a purchase at all.
PaperAgent requires statements, certificates and other documents to use archive-only rules. Select the document type and turn amount recording off. This supports filing, not extracting the individual transactions from a statement.
Give supporting files their own folders.
Match a merchant, filename or content term and select a category such as Statements or Certificates. Use an available document date for the year and month, or review a missing date before approving the route.
Choose a folder template that keeps supporting records separate from purchases. A structure such as {year}/{month}/Statements/{vendor} makes it easier to see which files support the monthly records without mixing them into the amount inputs.
Keep a spreadsheet configured for the wider workflow.
PaperAgent setup still requires a Google Sheet even when a particular rule is archive-only. The same workflow can use the sheet for invoice and receipt rules while filing supporting documents without adding their amounts.
AI reading attempts still count toward the allowance when an archive document is read. Missing dates, uncertain types and unreadable files can require review. Filing-only rules do not bypass the checks needed for a reliable destination.
Questions before you start
Can PaperAgent extract bank statement transactions?
No. Statements are archive-only documents. Their individual transaction lines are not imported into your spreadsheet.
Do I still need to select a Google Sheet?
Yes. The workflow setup requires a Google Sheet, even when a particular rule only files documents.
Do archive-only files use reads?
An AI reading attempt uses a read even when the resulting rule does not record an amount.
