In practice

Know what happens to your files.

Use the cloud folder link or ID.

A Google Drive folder can appear on your computer through Drive for Desktop, but its local filesystem path is not the cloud folder ID that PaperAgent needs. Open the corresponding folder in Google Drive and copy its link, or browse during setup.

Confirm the account and folder identity, especially when folders share similar names. Select a dedicated source for incoming financial files instead of a broad root that contains unrelated personal or business records.

Keep the destination outside the source.

The destination root holds the folders produced by your filing templates. It must not be inside the watched source. Separating these locations keeps completed files outside the incoming queue.

Use distinct, non-overlapping sources for separate workflows. An outgoing InvoiceAgent PDF archive should stay outside a source intended for supplier invoices. Check the actual folder hierarchy rather than relying only on display names.

Enable subfolder scanning only when it fits.

By default, choose whether the source's own files are sufficient. Enable the folder option if you intentionally want documents inside source subfolders included. Drive shortcuts are skipped, so a shortcut is not a substitute for selecting the actual source.

Before changing a source on an active workflow, inspect pending and partially applied records. Finish or skip those records as appropriate, or create a separate workflow. Moving the source selection is not a way to reset processing history.

Questions before you start

Can I paste a local Drive for Desktop path?

Use the cloud Google Drive link or folder ID instead. A local path is not the folder identifier used by the cloud API.

Can the destination be inside the source?

No. Choose a destination outside the watched source so organized files do not stay inside the incoming queue.

Are Drive shortcuts followed?

Shortcuts are skipped. Select the actual folder and configure whether its own subfolders should be scanned.
