PaperAgent / Document workflows
Review a decision. Reuse it when the same pattern returns.
PaperAgent can remember suitable decisions from approved reviews, helping familiar merchants and document types follow the right route while keeping uncertain files in your review queue.
Seven-day trial · 25 reads · No credit card required
For users processing recurring supplier documents who want fewer repeated routing and field-selection decisions.
Your setup
Start with one document.
01
Inspect the exception
Compare the document with its proposed category, date, amount role and destination. Supply corrections and evidence where needed.
02
Decide whether it should repeat
Approve and remember a stable preference for a familiar merchant and document type. Keep one-off changes as individual decisions.
03
Check future results
Let matching documents reuse the preference. Review new uncertainty and forget any preference that no longer fits.
In practice
Know what happens to your files.
Remember choices you have actually confirmed.
When reviewing a file, correct its category, destination, date basis and amount role. Choose to approve and remember a suitable reusable decision. PaperAgent stores the preference for matching merchants, document types and currencies within that workflow.
This is a saved preference, not training a new model. A one-off exception does not need to become a lasting rule. Remember decisions only when the same routing and field choice should apply to future documents.
Reuse the route, not last month's numbers.
A remembered software receipt decision can reuse the Software category, monthly folder template and gross-total field choice. The next receipt still supplies its own issue date, amount and document number. Moving from September to October uses the new document's date.
Previous payment amounts, payment evidence, exchange rates and duplicate confirmations are not copied to another file. A foreign invoice still needs fresh confirmed payment information in the recording currency.
Keep review controls as the workflow improves.
Remembered choices help with recurring decisions, but unclear extraction, missing fields, mismatched totals, possible duplicates and incompatible spreadsheet inputs still need attention. PaperAgent cannot guarantee that every future document from a known merchant will process without review.
Open Remembered decisions in Sorting rules to inspect or forget a preference. Forgetting affects future proposals; it does not undo already completed moves or spreadsheet entries. Approvals made before the learning feature existed are not automatically turned into remembered decisions.
Questions before you start
Does PaperAgent automatically learn from every approval?
Reusable learning is explicit: choose to approve and remember a suitable decision. A normal individual approval need not create a remembered preference.
Can it remember amounts?
It can remember which amount role to select, such as gross total or tax. It does not reuse a previous document's numeric amount. Each new file supplies its own values and dates.
Can I remove a remembered decision?
Yes. Use Forget decision in the Remembered decisions section of Sorting rules. This changes future proposals and does not reverse completed processing.
