PaperAgent / Document workflows

Choose the amount role, not just the biggest number.

A receipt can show a subtotal, tax, total and paid amount. Tell PaperAgent which role your rule should record, then compare that selected value with the evidence before it reaches your spreadsheet.

Your setup

Start with one document.

  1. 01

    Identify the labelled amounts

Compare subtotal, tax, total and paid values on a representative document.

  2. 02

    Choose the rule's role

Set the field that fits the target category input and recording currency.

  3. 03

    Review inconsistencies

Inspect ambiguous roles, mismatched totals and credit-note signs before approving a write.

In practice

Know what happens to your files.

Set one amount role for the rule.

The available recording roles are total, subtotal, tax and paid amount. The interface presents familiar choices such as gross total and net total. Select the role your configured category inputs expect to receive.

A reference conversion or an informational balance is not automatically the right amount to book. Read the document labels and supporting evidence. The selected role needs one unambiguous amount in the extracted document.

Check totals when the document disagrees.

Where a document supplies a total, subtotal and tax in the same currency, PaperAgent checks whether those values reconcile. A mismatch or multiple amounts for the selected role can send the file to review.

Resolve the actual document values rather than forcing an apparently convenient number through. Credit-note signs and foreign-currency payments add their own review requirements, even when a familiar field role has been remembered.

Avoid adding the same purchase through several roles.

A rule selects one amount role for a proposal. It does not automatically distribute gross, net and tax amounts into several category cells. If your workbook needs those relationships, design its input and formula structure deliberately.

A remembered preference can reuse the selected role for matching documents, but each new file provides its own value. Choosing tax as an amount role is a field-selection instruction, not confirmation that the amount qualifies for any particular tax treatment.

Questions before you start

Can PaperAgent record net instead of gross?

Yes. Select the subtotal or net-total role when that is the value your input should receive.

Will it automatically write gross, net and tax to separate cells?

A proposal records one selected amount role through its configured outputs. It does not automatically split all roles into multiple category inputs.

Can a remembered rule reuse a numeric amount?

It remembers the selected role, not the old value. Each new document supplies its own amount.
