PaperAgent / Document workflows

Keep the original currency and the actual payment clear.

A foreign receipt's printed amount and your local payment can differ. PaperAgent retains the original value and asks for a confirmed amount and evidence in the workflow's recording currency before recording it.

In practice

Know what happens to your files.

Choose the currency your workbook uses.

Set a three-letter recording currency for each workflow. ZAR is the initial default, but you can choose USD, EUR, GBP or another supported uppercase code. This is the currency expected in the configured amount inputs.

A receipt in that currency can use the selected document amount directly. If the original amount uses a different currency, the workflow needs a separately confirmed recording amount supported by payment evidence.

Use an actual payment, not a reference conversion.

An invoice may print an approximate local equivalent or a merchant's reference rate. Your card payment can differ because of timing, fees or the rate used by the payment provider. Supply the actual confirmed amount you intend to record and evidence that supports it.

PaperAgent does not fetch exchange rates or decide how separately charged fees should be treated. Keep fee evidence distinct when your recording policy requires it. If payment information is incomplete, leave the document for review rather than substituting an estimate.

Keep new evidence for each purchase.

The ledger can retain the original amount and currency alongside the recorded amount, recording currency and payment evidence. Use that detail when checking why the entered amount differs from the printed receipt.

Remembered decisions can reuse a merchant's routing and selected amount role. They never copy the old payment amount, evidence or exchange rate to the next receipt. A recurring purchase from the same merchant still needs its own payment confirmation.

Questions before you start

Does PaperAgent automatically convert currencies?

No. A document in another currency requires a confirmed actual amount and payment evidence in the workflow's recording currency.

Will the original foreign amount be retained?

The ledger retains original and recorded amounts and currencies so you can inspect the document value alongside the confirmed recording value.

Can a remembered decision reuse last month's payment?

No. Payment amounts, evidence and exchange rates are not copied into future documents.
