Know what happens to your files.
Choose a ledger, existing inputs, or both.
Select an existing Google Sheet by link or ID, browse for one, or create a sheet during setup. The ledger provides a fixed document record with original and recorded currencies, payment evidence, document ID and a Drive link. Existing input mode fits a workbook that already has category and period sections.
Existing inputs need explicit mappings for the period, category, worksheet, row range and columns. Use empty input rows rather than formula cells. A summary mapping needs a separate automation-owned cell; do not point it at an existing manually maintained total.
Record the amount that fits the document.
Decide whether your rule should use gross total, net total, tax or another supported amount role. A receipt's largest printed number is not necessarily the value you intend to record. Check the proposed amount, date, document type and category in the preview.
A credit note needs its sign and type checked. Statements and certificates can be archived without recording an amount. PaperAgent does not turn bank statements into transaction lists or independently decide the accounting treatment of a document.
Configure currency without inventing conversions.
Set the recording currency per workflow using a three-letter currency code such as ZAR, USD, EUR or GBP. A document in that currency can use its selected amount directly. A document in another currency needs a confirmed actual payment amount and supporting evidence in the recording currency.
PaperAgent preserves the original amount and currency in the ledger. It does not estimate an exchange rate or reuse a previous payment amount. Missing mappings, protected cells, formula cells, full ranges and uncertain totals require review. Keep automation-owned inputs separate from manual edits during a run.
Questions before you start
Can I use an existing Google Sheet?
Yes. Choose an existing sheet and configure a compatible ledger or map the period and category input cells. You can also create a new sheet during setup.
Is the recording currency always ZAR?
No. ZAR is the initial default, but each workflow can use a configured three-letter currency code. Documents in another currency need a confirmed actual payment amount and evidence in the recording currency.
Will PaperAgent overwrite spreadsheet formulas?
Formula and protected cells are not suitable input targets. Configure empty ranges or a separate automation-owned summary cell. Blocked writes require review.
