How to complete the template

Collect the approved charges

Attach the accepted milestone, approved timesheet, or scope change reference. List expenses separately with receipt and approval references. Keep pending items off the ready subtotal.

Verify the client route

Check the legal billing entity, billing email or portal, PO number, due-date basis, and currency. Note whether an attachment or portal upload is required.

Assign the final review

Give the invoice owner the target send date, readiness status, and named blockers. The sender confirms the PDF and recipient before scheduling; the handover does not send it automatically.

Store portal credentials in your approved access system. The handover should reference the access owner, not copy secrets into a shared billing file.

Unapproved work and disputed charges should remain visible with an owner. Removing them from the total is not the same as resolving them.

Is ready the same as sent?

No. Ready means the required evidence is present. Keep a separate invoice ID, actual send time, and delivery outcome after sending.

How do I hand over a recurring invoice?

Include the next service period, agreed amount, any approved changes, and a check that an existing schedule will not create a duplicate invoice.
