Quick context

Section

Practical guides to scheduling invoices, writing reminders, and managing recurring client billing.

Best for

Service businesses maintaining a received monetary advance across billing periods.

Outcome

Use this page to move from general research into a calmer, more repeatable invoicing process.

Action plan

Work through the billing decision

Reconcile the opening evidence

Compare the prior closing amount with receipt and application references. Identify the agreement, currency and snapshot date; resolve unexplained opening differences first.

Match each period movement once

Include only verified received top-ups and approved referenced applications. Check prior invoice deductions and ledger entries for the same event, preserving requested but unreceived top-ups separately.

Verify the closing and next decision

Compare opening plus received top-ups less applications with the closing ledger. Assign any excess application or unresolved event and record the approved next-period treatment without assuming a refund.

Common pitfalls

Where teams usually lose momentum.

Avoid this

Using a future top-up to cover current applications

A payment request is not available funds. Keep the shortfall visible until receipt and treatment are confirmed.

Avoid this

Treating every remaining balance as a credit note

An unapplied monetary advance and an invoice-adjustment document are different records. Use the required process for each rather than changing labels.

FAQ

Questions people usually have before changing the workflow.

Can the closing ledger prove all cash is still held?

No. This movement check does not audit bank custody, segregated funds or accounting classification.

What if an application exceeds the advance?

Flag the excess and verify the approved charge and agreement. Do not silently turn the advance negative or assume the difference is an authorized new invoice.

How should a refund be recorded?

Follow the authorized refund and document process, then link its actual evidence to the ledger. The calculator does not decide or execute a refund.
