A prepaid service ledger follows money received before it is applied to approved charges. It differs from a retainer hours statement: its unit is currency, and each movement needs receipt or charge evidence. A request for a top-up does not increase the available balance.
Start with a verified unapplied opening amount, then record confirmed receipts and referenced applications in date order. Keep disputed charges, proposed work, refunds and expiry decisions outside the movement until their proper treatment is approved. The ledger is an operational reconciliation, not an accounting recognition policy.
The fictional period opens at USD 2,000, receives a USD 500 top-up and applies USD 1,200 and USD 800 to identified charges. USD 500 remains unapplied. The closing amount does not decide whether that money is refundable, expires or carries forward under the agreement.

How to complete the template
Verify the opening amount
Reconcile the prior closing ledger with received funds and earlier applications. Identify the client, currency, agreement and snapshot date.
Record evidenced movements
Use receipt references for received top-ups and invoice or charge references for applications. Check that an application has not already reduced the same balance elsewhere.
Review the closing balance
Reconcile opening plus receipts less applications. Assign any excess application or unidentified movement, then confirm the next-period treatment separately.
