Remittance advice explains a payer's intended allocation. It helps the supplier match a transfer to invoice IDs, but it is different from the supplier's internal allocation record and from a confirmed receipt. Xero's guidance distinguishes the notice from bank evidence of payment.
This template identifies the payer, payee, currency, payment reference and status, then lists amounts by invoice. Describe initiation or processing accurately and leave receipt confirmation to the recipient's reconciliation. Do not include passwords, complete card details or unnecessary private bank information.
The fictional notice describes an initiated USD 1,700 transfer: USD 1,000 for INV-441, USD 500 for INV-442 and USD 200 whose treatment is awaiting agreement. The notice makes that remainder explicit instead of inventing an invoice allocation to make the table look complete.

Outcome
Use this page to move from general research into a calmer, more repeatable invoicing process.
How to complete the template
Identify the payment instruction
Record business identities, date, currency, total, safe payment reference and current status. Use a known recipient contact.
Explain the intended split
List invoice IDs and allocated amounts, distinguishing partial payment and any unresolved remainder. Describe deductions as queries or referenced adjustments, not unilateral approved changes.
Send and preserve the notice
Keep a version of the notice with the payment instruction. Ask the supplier to reconcile actual receipt and clarify differences; do not label the notice a receipt.

Avoid this
Calling initiated money cleared
Use the state supported by the payment evidence. The recipient must still confirm and allocate the received amount.
Avoid this
Omitting the currency or invoice IDs
A total alone can match several account records. Add specific references and a contact for clarification.

Questions people usually have before changing the workflow.
Does the supplier mark invoices paid from this alone?
No. They should confirm receipt and reconcile the split before updating balances.
Can it cover several invoices?
Yes. List each intended amount and reconcile allocations plus any identified remainder to the transfer total.
Can the notice authorize a deduction?
No. Reference the actual approved adjustment or request clarification; the notice itself does not change invoice terms.
