Action plan

How to complete the template

Name the original and the field

Use the invoice ID, sent date and file reference. Quote the exact current value and the expected value, then attach the approved PO, rate or client-details evidence.

Ask for the correction decision

Identify whether the total, due date or recipient is affected. Assign an owner to check the supported document process and any applicable requirements before altering an issued record.

Record the returned document

Keep the original and the resulting correction references together. Confirm delivery to the right billing contact and review reminders or payment records if the change affects them.

Common pitfalls

Where teams usually lose momentum.

Avoid this

Turning a request into an approved adjustment

A client's proposed amount does not itself authorize a credit. Keep requested, reviewed and approved values distinct.

Avoid this

Sending another payable invoice without explanation

Explain how the corrected document relates to the original so the recipient does not process both as separate charges.

FAQ

Questions people usually have before changing the workflow.

Is this a credit-note template?

No. It is a request and tracking record. The issuer must use the document process appropriate to the correction and applicable requirements.

Can I correct only the billing email?

Record the recipient change and verify it through the established client contact. Check whether the document itself or only its delivery route needs updating.

What if payment was already received?

Include the receipt and allocation references in the review. An amount correction should not hide an existing payment or cause a duplicate refund.
