Illustrative example
Two approved service groups
- Design
- 10 h × USD 100 = USD 1,000
- Development
- 5 h × USD 160 = USD 800
- Service subtotal
- USD 1,800
- Internal weighted summary
- USD 120/hour over 15 hours
Fictional before-tax lines; the weighted summary is not a new rate agreement.

A mixed-rate invoice should show which hours belong to which approved rate. A single blended figure can be useful for internal reporting, but it can hide the client's agreed categories or create a cent mismatch when multiplied back by total hours.
The worksheet records each group's work evidence, decimal hours, agreed rate and subtotal. It keeps a weighted summary outside the billable lines and leaves tax, fixed charges and expenses to their own reviewed treatment. Do not assume a person's role alone determines a billable rate.
The fictional draft has ten design hours at USD 100 and five development hours at USD 160. Its service total is USD 1,800. The weighted summary is USD 120/hour, but the actual invoice continues to show the two approved groups.

How to complete the template
Match time to rate authority
Identify the agreement or change approving each rate and the work that qualifies. Separate queried hours and keep their next action visible.
Prepare the group subtotals
Use the same decimal-hour representation throughout. Calculate and round each reviewed line to cents, then sum the lines. Keep fixed fees and expenses separate.
Review the final document
Confirm descriptions, service dates, rate references and the service total. Treat any blended rate as a summary, not an unapproved replacement rate.

Avoid this
Averaging rate labels
USD 100 and USD 160 do not imply USD 130/hour when their hour weights differ. Use the actual mix.
Avoid this
Recreating the invoice from a rounded summary
A displayed weighted rate can lose a cent. Preserve the approved line subtotals as the billing record.

Questions people usually have before changing the workflow.
Can two groups use the same rate?
Yes. Keep separate groups where work evidence or service dates require them; the rate alone does not determine grouping.
Where should a fixed charge go?
Record it as a separate approved line with its own basis. Do not invent hours to include it in a weighted hourly summary.
Is 1:30 the same as 1.30 hours?
No. One hour thirty minutes is 1.50 decimal hours. Verify the export representation before copying quantities.
