Evaluation method
Reviewed 2026-10-05
Original service-billing worksheet and fictional worked example. Workflow reviewed 2026-10-05; not a claim about measured customer outcomes. Approvals, payment allocation, client portals, and tax decisions remain separate from scheduled delivery.
Using InvoiceAgent
After approvals and amounts are checked, use InvoiceAgent to prepare and schedule invoice delivery.
Illustrative example
One source entry, two legitimate portions
- Approved T-201 duration
- 180 minutes
- Earlier invoice INV-520
- 120 minutes
- Proposed INV-531
- 60 minutes
- Remaining eligible
- 180 − 120 − 60 = 0
- Duplicate extra proposal
- Another 60 minutes would produce −60
Fictional duration allocation. Rates, rounding, tax and correction treatment are reviewed separately.
See the recorded product workflowWhat this document helps you record
A time entry to invoice mapping template records where each approved entry was billed. Matching invoice numbers alone will not catch the same work charged on two otherwise different documents. Use a source-qualified identifier, such as tracker account plus entry ID, and reference the actual invoice line that consumes the eligible duration.
The worksheet tracks approved minutes, earlier allocations, proposed allocations and remaining eligible minutes. For each entry, remaining = approved − earlier − proposed. A negative result flags an over-allocation to investigate. It does not automatically prove misconduct: a reversed charge or an incorrect mapping may need correction before you decide what to send.
In the fictional example, T-201 has 180 approved minutes, 120 already allocated and 60 proposed for the next invoice. Nothing remains. A second manual line for those same 60 minutes would create an over-allocation. Keep replacement invoices linked to their original records, and document any actual reversal before releasing an allocation for reuse.
Quick context
Section
Invoice templates, reminder templates, and billing trackers that lead naturally into a scheduled workflow.
Best for
Consultants billing overlapping reports or combining imported time with manual invoice lines.
Outcome
Use this page to move from general research into a calmer, more repeatable invoicing process.
How to complete the template
Use stable source identity
Record tracker, workspace or account, entry ID, period and approved duration. When IDs are unavailable, preserve an export row reference and flag the weaker matching method.
Attach allocation evidence
List previous invoice IDs, line references and minutes. Check whether each document is active, replaced or formally reversed before changing the allocation.
Reconcile the proposed invoice
Calculate remaining eligible minutes per entry and check the overall total. Compare imported and manual lines for shared source IDs before saving the next invoice.

Avoid this
Deduplicating by description only
Two legitimate sessions can have identical descriptions. Check identifiers, timestamps and underlying work before excluding either.
Avoid this
Treating an unpaid invoice as unbilled time
Unpaid work may already be billed. Sending another invoice for the same time can duplicate the charge; follow up on the original receivable.
Move from reading about the workflow to running it.
InvoiceAgent is designed for the last mile of getting paid: scheduled invoice delivery, reminder timing, professional PDFs, and send-time FX conversion when global billing is involved.

Questions people usually have before changing the workflow.
Can an entry be split across invoices?
If the agreement and your records support a split, map exact portions. The sum of active allocations must not exceed the approved duration.
Does this detect duplicates automatically?
No. It supplies fields and arithmetic for a manual review. InvoiceAgent does not maintain this entry-level allocation ledger for you.
What happens after an invoice correction?
Preserve the original mapping and reference the actual correction. Release or replace an allocation only when the documented billing treatment supports it.
