A payment evidence checklist asks whether money has actually been received and which invoice it belongs to. A payer's remittance advice explains an intention; it does not replace the recipient's receipt and allocation evidence. Keep those records related but distinct.
Record the confirmed receipt status, date, payer reference, gross amount and currency. Match the invoice allocation and check existing postings before updating balances. A processor's net payout may combine transactions and fees, so it should not be pasted into a gross invoice-payment field without reconciliation.
The fictional check confirms a USD 600 receipt R-44 from the expected payer and allocates it once to INV-441. A USD 100 credit is documented separately. The checklist preserves unresolved differences and requires an appropriate next action instead of changing an invoice to paid from a payment promise.

Use the relevant bank or payment record to verify status, amount, currency, date and reference. Record the evidence location without copying unnecessary private account details.
Match and check prior postings
Verify payer and invoice identity. Compare the intended split with open invoice amounts and existing allocations so the same receipt is not applied twice.
Review the settlement description
Separate credits, fees, refunds and unallocated amounts. Update the billing record only from the reviewed reconciliation and keep an owner for exceptions.
