A foreign-currency receipt reconciliation keeps amounts and rate direction explicit. It compares a stated foreign invoice portion with a confirmed gross receipt in the settlement currency. It differs from a conversion estimate, which does not establish receipt, and from a net-payout review, which can combine fees and transactions.
Record each currency code, the reference rate's source and date, and whether it is settlement units per one foreign unit. Preserve actual conversion evidence separately from the chosen reference. A signed difference can trigger investigation but cannot by itself prove a fee, accounting gain or loss, or client underpayment.
The fictional record compares EUR 1,000 at entered USD 1.10 per EUR with confirmed USD 1,080 gross receipt. Reference equivalent is USD 1,100 and the difference is USD −20. The worksheet retains the evidence needed to investigate the cause and the actual invoice allocation.

How to complete the template
Identify the exact comparison portion
Record invoice ID, foreign code, amount and which portion the receipt covers. Verify the settlement currency and actual gross receipt status.
Preserve rate and conversion evidence
Write rate direction, precision, date and reference source. Keep actual conversion and fee records distinct from the arithmetic reference.
Investigate and reconcile the action
Calculate the signed difference, trace possible explanations with evidence and review allocation. Record the approved billing update separately from any required accounting classification.

Avoid this
Reversing the rate direction
A rate per foreign unit is different from its reciprocal. Record units on both sides before multiplying.
Avoid this
Calling a difference unpaid invoice value
Settlement currency and invoice currency are different bases. Verify actual conversion and allocation rather than subtracting unlike amounts.

Questions people usually have before changing the workflow.
Does this provide a live exchange rate?
No. Supply and retain the rate reference used for this comparison.
Can a net payout be the gross receipt?
Only after its gross transaction amount has been independently reconciled. Fees and grouped transactions need separate records.
Does the sheet decide accounting treatment?
No. It records operational evidence and leaves rate policy, gains/losses and tax treatment to the appropriate reviewed process.
