An initial invoice email should identify the document, service period, amount, due date and payment reference without sounding like an overdue reminder. It is also a useful place to explain required approval or PO context and list the files the client should process.
The download contains a simple first-send version, a PO-based version and a version with supporting documents. Adapt the message to the client's accepted route. If a portal is required, an email can notify the contact of the submission but should not claim that an attachment alone completed the portal step.
The filled example sends INV-323 for USD 1,700 with an approved timesheet and PO-781. Its payment deadline is October 21. Check the actual PDF, message and recipient together; a draft template does not attach a file or send anything.

How to complete the template
Match the message to the invoice
Use the exact invoice number, currency, total and due date shown on the reviewed document. Name the billed service period, especially if it differs from the issue month.
List relevant attachments
Identify the invoice PDF and only the support files the client requires. Confirm each file belongs to the right client and approved version before delivery.
Explain the next action
State the payment reference or submission acknowledgment request and give a contact for questions. Avoid adding a new due date or fee that contradicts the invoice and agreement.

A fresh invoice should not accuse the client of being late. Use a submission message and reserve overdue copy for a later status review.

List each invoice, amount and due date separately. Do not combine them into an unexplained new charge, and follow the client's submission requirements.
Should I paste full payment instructions?
