A retention reconciliation worksheet keeps two histories: all deductions made under a lifetime cap, and the amount still unreleased. A release changes the second history. Under the particular lifetime-cap model used here, it does not erase earlier deductions or reopen the cap. Verify that this matches the actual agreement before using the worksheet.
Start with references for the cumulative deductions and earlier releases rather than copying a single unexplained opening figure. Record the eligible current subtotal, agreed rate and cap, then limit the new deduction to remaining cap capacity. Link each approved release to its decision record; do not equate a release with cash received.
The fictional example starts with USD 500 cumulative deductions and USD 500 unreleased. A USD 500 new deduction reaches a USD 1,000 lifetime cap; an approved USD 200 release leaves USD 800 unreleased. The current eligible subtotal of USD 10,000 becomes USD 9,500 after the new deduction, before separate release-document and tax treatment.

Reference the agreement's exact cap basis, rate, eligible charges and earlier deductions. Reconcile the opening unreleased balance to prior release decisions.
Record current movement
Calculate the rate-based deduction, restrict it to lifetime capacity and add it to cumulative deductions. Record only the actual approved release in the separate balance movement.
Review the billing handover
Reconcile closing cumulative and unreleased amounts, preserve document references and check how the current deduction and release should appear in billing. Record actual receipt separately.

Resetting the lifetime cap after release
A release reduces the unreleased balance in this model but cumulative earlier deductions remain. A held-balance cap is a different model.

Retention billing records do not prove escrow, a bank balance or payment receipt. Retain those separately where relevant.
