Best for
Agencies and consultants checking that eligible work reaches the billing queue once.
Evaluation method
Reviewed 2026-10-02
Original service-billing worksheet and fictional worked example. Workflow reviewed October 2, 2026; not a claim about measured customer outcomes. Approvals, payment allocation, client portals, and tax decisions remain separate from scheduled delivery.
Using InvoiceAgent
After approvals and amounts are checked, use InvoiceAgent to prepare and schedule invoice delivery.
Illustrative example
Three items before invoicing
- TIME-18
- USD 1,500 approved / ready
- CHG-08
- USD 300 estimate / approval blocked
- EXP-12
- USD 200 estimate / receipt review
- Ready billing subtotal
- USD 1,500 only
- After billing
- Link TIME-18 to actual invoice ID
Fictional work pipeline. Estimates and ready amounts are distinct; no invoice is assumed sent.

An unbilled work register tracks service items before an invoice exists. That differs from an unpaid-invoice tracker, which starts after billing. The register asks what work is eligible to bill, what evidence is missing, and who owns the next step.
Keep estimates separate from approved billing amounts. A delivered task may still require acceptance, time approval or an amended PO. Give each item a stable reference, readiness state and next action, then link the eventual invoice so it is not billed again in another run.
The fictional register contains a USD 1,500 reviewed time record ready for billing, a USD 300 scope change blocked for approval, and a USD 200 expense item awaiting receipt verification. None is described as an overdue invoice, because no invoice has been issued.

How to complete the template
Capture a specific work item
Record the client, service period, work or export reference, amount basis and billing trigger. A vague project total is difficult to match to a later invoice line.
Assign readiness and blockers
Separate ready, needs review, and blocked items. Name the missing approval or evidence and the person obtaining it. Do not turn an estimate into an approved charge by changing the label.
Close the item against an invoice
Before billing, check prior invoices and schedules for the same reference. After creating the correct invoice, record its ID and the billed amount. Keep a held or excluded item visible with a reason.

Avoid this
Calling an unbilled estimate receivables
This register is a workflow list, not a statement of amounts already invoiced or accounting revenue. Keep it outside the client account balance until the proper billing record exists.
Avoid this
Deleting a blocked item
Remove it from the ready subtotal but preserve its next action and owner. Otherwise the unresolved work can be forgotten or added twice later.
Move from reading about the workflow to running it.
InvoiceAgent is designed for the last mile of getting paid: scheduled invoice delivery, reminder timing, professional PDFs, and send-time FX conversion when global billing is involved.

Questions people usually have before changing the workflow.
Can a delivered item still be blocked?
Yes. The agreed billing trigger can require approval, documentation or a PO update after delivery. Record that missing step.
How do I avoid duplicates?
Use stable work references, compare them with prior invoice lines and planned sends, then save the invoice ID on the register when the item is billed.
Should the client see this register?
It is an internal operational record. Share a reviewed client-facing summary only where appropriate, excluding internal notes and unapproved demands.
