Choose the question and snapshot

Use an activity period to explain movement, or an outstanding-invoice snapshot to explain what remains open. State the currency, entity and preparation date prominently.

Reconcile the underlying records

For activity, verify opening balance plus charges less allocated receipts and approved credits equals closing. For outstanding balances, sum each invoice's current remaining amount once. Keep unapplied advances and unidentified receipts in a separate review list.

Review the message and recipient

Confirm the billing contact and describe the statement as a summary of referenced documents. Distinguish not-yet-due balances from overdue amounts and give a way to raise a specific question.

Due dates determine which open amounts are overdue. A closing balance can contain current invoices as well as older charges.

Sending a stale snapshot after a receipt

If a payment arrived after preparation, refresh the statement or clearly state the snapshot and acknowledge the later payment separately.

Should the statement include paid invoices?

An activity statement may include them as period activity; an outstanding summary usually focuses on remaining balances. Label the view and keep the reconciliation consistent.

Does a statement replace an invoice?

No. Keep the underlying invoice and correction documents available. The summary should refer to them rather than reissue their charges.

What if the client reports a missing payment?

Ask for the receipt reference, verify it and check its allocation. Update the statement after confirmation; do not invent a deduction merely to match the client's expectation.
